Job Description

We are seeking a detail-oriented and organized Transactions and Database Coordinator to support our team by managing critical processes related to transactions, listings, and database maintenance. The ideal candidate will be proactive, tech-savvy, and skilled at maintaining accuracy while balancing multiple priorities in a fast-paced environment. Responsibilities: Transactions Coordination • Review and double-check documents to ensure accuracy and compliance • Transfer documents from our team to our brokerage • Ensure transaction files are complete and compliant ahead of closing deadlines • Communicate between team agents and the brokerage Listings Management • Prepare listing documents as needed • Coordinate listing-related logistics, including scheduling photos and managing signage installation and removal • Create and manage MLS listings, ensuring accuracy and timely posting • Post Open House dates and coordinate related activities • Track and manage inventory Database Administration • Maintain the CRM database by updating client information, deal stages, notes, birthdays, closing dates, and more • Ensure deals are accurately reflected and updated in the CRM Qualifications: • Exceptional attention to detail and organizational skills • Ability to manage multiple tasks with competing deadlines in a dynamic environment • Proficiency in Skyslope or a strong ability to learn and navigate the software quickly • Familiarity with Slack, MLS systems, and CRM software is an asset • Strong communication skills, including the ability to send clear reminders and requests for corrections • Experience in real estate transactions, database management, or a related field is a plus About Company: We are a group of experienced professionals based in Ottawa, specializing in buying and selling properties in the region.  As first-time homebuyers and investment property specialists, we are dedicated to providing friendly and informative service to guide you through the entire process.
