Job Description

Police Patrol Administrative Assistant Location Brenham, TX :

Summary

Performs general administrative duties for the Police Patrol division, as well as enters and approves offense and accident reports in the computer system; assists the public and other agencies by responding to requests for records and information; greets the public in person and by telephone regarding police matters and prepares correspondence.

This position is a non-exempt hourly position with a starting rate of $17.43 per hour.

The selected candidate's offer of employment will be contingent upon passing several pre-employment screenings. This includes the required submission of a TCOLE (Texas Commision of Law Enforcement) Civilian Employee Personal History Statement and pass a national fingerprint-based background check.

Required Certificates, Licenses, Registrations

Certification as a Notary Public, or ability to obtain within 90 days after hire. A valid Texas driver's license is required. Must be TLETS (Texas Law Enforcement Telecommunications System) certified, or the ability to obtain within 6 months after hire.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Assists with answering phone calls and serves as back up to the Investigations Administrative Assistant in their absence;
  • Greets public with diplomacy and tact, providing assistance;
  • Works with volunteers/Citizens on Patrol personnel;
  • Types and prepares memos and correspondence;
  • Daily review of accident reports for accuracy, scans completed reports into computerized system for online citizen retrieval, and maintains accident report binders;
  • Daily entry of handwritten and electronic citations/warnings into current Records Management System, including notifying proper agencies; and completing all necessary fields for racial profiling reporting;
  • Processes requests for reports, including making copies of accident reports, receiving money, and issuing receipts;
  • Receives phone calls from the public and other agencies, providing assistance and information;
  • Verify in-car and body camera video protection is released when court dispositions are received; verify videos are no longer needing protection from purge;
  • Verify in-car and body camera videos are tagged with proper tag, protected for court processing;
  • Processes repossessions that come in to claim property, notify proper authorities, and maintain vehicle repossession logbook;
  • Ensures cases are prepared for court, including gathering video evidence, and submitted to the appropriate court or agency;
  • Notarizes paperwork as needed;
  • Assists in preparing/reviewing monthly statistical information;
  • Assists with records retention, including general filing and scanning;
  • Maintains a high level of confidentiality when handling communications and documents within and outside the department; and
  • Sustains a consistent degree of flexibility for cross training with other staff/departments, to assist or perform additional administrative or clerical duties.

Supervisory Responsibilities

This is a non-supervisory position.

Education and/or Experience

High school graduation or its equivalent; or any equivalent combination of education and experience that provides the required knowledge, skills, and abilities.

Knowledge Of

Must have knowledge and application of providing courteous and professional telephone etiquette; proficiency in computers and various programs; and standard office practices and procedures. A high level of proficiency in both Microsoft Word and Excel is required.

Skill/Ability To

Operate computers, including performing word processing functions; read and understand manuals, letters, and memos; write professional letters, memos, and relay accurate telephone messages; operate office equipment, such as copy and fax machines; communicate effectively, both in person and over the phone; and establish and maintain effective working relationships.

Specific vision abilities required by this job include close vision and the ability to adjust focus.
