The Opportunity

The AIISP Administrative Assistant supports the Associate Director, Director, and Department Business Administrator by providing comprehensive administrative assistance. This role involves managing program administration, coordinating events and meetings, assisting with courses, and handling communications.

Key Responsibilities

Program Administrative Support:

  • Provide administrative support to the Director.
  • Handle public inquiries.
  • Plan and coordinate event logistics, including registration, scheduling, accommodations, food, and materials.
  • Manage the student employee application process.
  • Maintain program directories and email listservs.
  • Arrange travel and process reimbursements for invited speakers and staff.
  • Purchase goods and services through Cornell's procurement systems.

Course Support and Academic Assistance:

  • Collaborate with the College Registrar's Office and Director to organize and publicize AIIS courses.
  • Prepare master events and faculty schedules.
  • Facilitate AIIS course descriptions for the course catalog.
  • Monitor course enrollments.
  • Reserve classrooms and lecture halls.
  • Provide logistical support for AIIS 6010 Speaker Series.
  • Assist the Directors of Graduate and Undergraduate Studies with student records, data, and administrative tasks related to AIIS minor recruitment and promotion.

Communications Support:

  • Update, layout, and schedule content for the weekly newsletter.
  • Create and distribute event and course announcements through various platforms.
  • Maintain program communications, including website and social media.
  • Supervise student Office Assistants providing communications and other support.

This is a full-time, contract position (39 hours per week) based fully on-site in Ithaca, NY. The regular schedule is Monday to Friday, generally from 8:30 a.m. to 5:00 p.m., with final hours determined by the supervisor. Evening and weekend shifts will be required to support special events.

  • Formal training beyond high school, such as 1-2 years of college coursework, an associate's degree, or equivalent experience (4-6 years).
  • Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and related software such as DUST, PeopleSoft, CCI ACALOG, E-SHOP, and Canvas.
  • Strong communication and organizational skills with the ability to prioritize multiple projects.
  • Proven success in providing excellent customer service in an administrative role.
  • Ability to work collaboratively while fostering a respectful work environment.
  • Demonstrated sound judgment, creativity, and problem-solving abilities.
  • Ability to work effectively both independently and as part of a team.
  • Skilled in maintaining a professional atmosphere in a busy environment.
  • Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and related software such as DUST, PeopleSoft, CCI ACALOG, E-SHOP, and Canvas.
  • Ability to handle confidential information responsibly.

  • Bachelor's degree (BS, BA, or BFA) with at least five years of relevant experience.
  • Proficiency in InDesign; experience with Adobe Creative Suite is a plus.
  • Coursework in Native American or Indigenous history/American Indian Studies preferred.
  • Familiarity with Native cultures is an asset.
